Create the contact
Click Add Contact.
Enter name (e.g., “Josh Test 11”) and other details you have.
Click Save (or it autosaves, depending on your screen).
Tag as Past Customer
Open the contact you just created.
In Tags, add Past Customer (type “past” and select the correct tag).
This tells the system it isn’t a Google Ads or Direct lead.
Let the automation classify & sync (two options)
Normal flow: Wait ~5 minutes. The automation checks for tags (Past Customer / AdWords / Direct) and then pushes the record to Airtable.
Fast-forward: Open the workflow queue item for this contact, click Skip to bypass the 5-minute wait, then Move (or Move All) to fire the webhook immediately.
Confirm in Airtable
In Airtable, verify the new record appears.
You should see Contact Type = Customer and Status = Open.
(Optional) Mark Qualified
If you want, add the Qualified tag in the CRM. (Not strictly needed for past customers, but it will move them to Qualified in Airtable if used.)
Add notes
Add any context in Notes (e.g., “Needs a new finish-out”).
Save so the notes sync to Airtable.
Proposal flow (PandaDoc)
Once marked Qualified, the contact is available in PandaDoc via the same flow you use for Google Ads leads—no special handling required.
Work the lead normally
Continue managing tasks, follow-ups, and proposals from the CRM; Airtable (and PandaDoc when qualified) stay in sync.
