1) Understand where Notes can live

Notes can be attached to any object, including:

  • Proposals

  • Jobs

  • Tasks

You can also create a standalone note that isn’t attached to anything (useful for general team reminders or quick context).


2) Create a note on a proposal (example workflow)

  1. Go to Proposals

  2. Find a recent proposal (use Created Today / date range filter if needed)

  3. Open the proposal

  4. Scroll to the Notes section

  5. Create a new note (example: “Test note”)


3) Tag someone using @mention

  1. In the note text, type @ and start typing the person’s name

    • Example: @Carter do you see this?

  2. Select the correct user from the dropdown.

  3. Confirm the name turns blue / highlighted (that indicates it’s properly tagged).

  4. Click Save.


4) Confirm what happens after you tag someone (in-app notifications)

After saving a note with an @mention, you should see:

  • An in-app pop-up confirming you mentioned someone

  • The note appears in the Notes area (now tracked/attached)

  • A red notification bubble appears (after refresh or shortly after)

Clicking that notification typically takes you directly to the item where you were mentioned.


5) Check the Notifications section for tagged items

  1. Go to Notifications

  2. You’ll see the most recent notifications where you were tagged/mentioned

  3. Click the notification to jump straight to the related proposal/job/task

This is the easiest way to find “someone needs something from me.”


6) Confirm you also receive an email

When you’re mentioned (or assigned, depending on the trigger), the system sends an email alert such as:

  • “You’ve been mentioned…”

  • “You’ve been assigned…”

So even if you’re not in the app, you’ll still get notified.


Best Practices (super simple)

  • Use Notes to capture context: what happened, what’s needed, by when.

  • Use @mentions when you need a response or action from a specific person.

  • Keep notes tied to the relevant item (proposal/job/task) so the history stays organized.
