ServiceFire (Sales Team) — Accepting a Proposal Creates a Job + Task List (Video 3)

Action Steps (Do these after you watch)

1) Find the proposal you created (use the date range filter)

  1. Go to Proposals

  2. Use the date range filter (example: Created Today)

  3. Click the proposal (ex: “Josh’s websites”)

Tip: This is the fastest way to locate the “test” proposal from the prior video.


2) Confirm there is no job yet (before accepting)

  1. Open Jobs

  2. Filter Jobs by Created Today

  3. Confirm the job list is empty for that proposal (no job exists yet)


3) Change proposal status to Accepted (this triggers automation)

  1. Go back to your proposal in Proposals

  2. Change Status from Viewed → Accepted

  3. Click Save Changes

Important: The moment you set Accepted, the system automatically creates:

  • A Job

  • A Task list tied to that Job


4) Verify the job was created

  1. Go to Jobs

  2. Use the same Created Today filter

  3. You should now see the new job (named after/linked to the proposal)

Click the job to open the Job detail page.

5) Understand Job Status vs Job Stage

Inside the Job record, you’ll typically see two progress indicators:

Job Status (overall lifecycle)

  • Created

  • Scheduled

  • In Progress

  • Completed

  • Canceled
    (In the demo it’s shown as dynamically created / newly created.)

Job Stages (more detailed workflow stages)

  • Planning

  • Logistics

  • Initial Review

  • Information Gathering

  • Work In Progress

  • Completed

  • Invoice

  • Partially Paid

  • Fully Paid

You can edit these, but in most cases ops/admin will manage this.


6) Know the default assignment behavior

  • Current Assignee defaults to Brandon when a job is created.

  • Primary Owner may be blank initially and can be updated later (usually by Brandon/ops).

If the assignee changes, the new assignee receives an email notification that the job has been assigned to them.


7) Optional: Add an address (if you have it)

You don’t have to do this as sales, but you can if it helps.

  1. Enter the job address

  2. Click Save

  3. The system will:

    • Generate latitude/longitude

    • Show the map location for the job


8) Jump from the job to the original proposal and task list

From the Job page you can:

  • View the original accepted proposal

  • Click directly into the Task list (without going back to the Tasks menu)


9) Use Notes for collaboration and visibility

Inside the Job record:

  1. Add a Note

  2. Tag a teammate if needed

What happens when you’re tagged:

  • You’ll see a notification in-app (top notifications area)

  • You’ll see it in the Notifications section

  • You’ll also get an email notification

  • There may be an optional sound alert depending on settings

Notes are the “source of truth” for quick context on what’s happening with the job.

Do I need to manage jobs as a sales rep?
Not usually. This is mainly for visibility so you can quickly see status/stage and respond to the customer.

What’s the one thing I should be careful about?
Changing a proposal to Accepted — it immediately creates a Job + Task list and signals “ready to execute.”

If I need an update for a customer, where should I look?
Open the Job, review Status/Stage, and check Notes/Activity.
